Do you pride yourself on being a bookkeeping badass with the skills to prove it? We’re a young, fast-growing fully remote accounting firm in the U.S., seeking an experienced bookkeeper to join our team. This is a 100% virtual, full-time role (Mon–Fri, business hours). Applicants must be U.S.-based (sorry, no international applicants).
We haven’t revealed our company name here (we like to keep things on the down-low), but we can tell you this: we’re ambitious, growing fast, and we love what we do. If you’re an organized, client-friendly QuickBooks whiz who’s ready to manage multiple clients and own the month-end close, keep reading!
What You’ll Do (Role Responsibilities)
- Manage Multiple Client Books: Serve as the go-to bookkeeper for several small-business clients (many are healthcare practices with ~$1–5M in revenue). You’ll juggle multiple accounts like a pro, ensuring each client feels like they’re your only client.
- Month-End Mastery: Run the full month-end close for each client. This includes reconciling bank and credit card accounts, tying out every balance sheet, and closing the books accurately and on time.
- Reconciliations & Journal Entries: Handle loan and fixed asset reconciliations and record any needed adjusting entries. You’ll also be in charge of recording payroll journal entries – many of our clients use Gusto for payroll, so experience with Gusto is a big plus.
- QuickBooks Online Expertise: Live in QuickBooks Online (QBO) daily, setting up new accounts, recording transactions, troubleshooting issues, and occasionally dip into QuickBooks Desktop for legacy data or conversion projects. (We use QBO for 99% of our work, but once in a blue moon we’ll do a desktop conversion, so familiarity helps.)
- Client Communication: Be the friendly, professional face of our firm for your clients. You’ll answer client questions, explain financial reports in plain English, and maybe even coach a doctor or two through understanding their P&L. Great service is key – our clients should love interacting with you on emails and video calls.
- Collaborate & Improve: Work closely with our remote team to streamline processes. We’re fully distributed but highly collaborative, you’ll join team Zooms, share tips in Slack, and help us continually improve how we do things. Have an idea to make month-end faster or client reporting better? We want to hear it!
What You Bring (Qualifications)
- 5+ Years Experience in Bookkeeping/Accounting: You’ve been around the block – ideally with significant experience at a bookkeeping or accounting firm where you managed multiple clients simultaneously. (You know what it’s like to switch gears between a dentist’s books and a physical therapist’s books in the same afternoon.) Experience with healthcare or medical industry clients is a bonus.
- QuickBooks Online Pro: Deep, hands-on knowledge of QBO is an absolute must. Maybe you’re a QuickBooks ProAdvisor or just the resident QBO guru at your current job, either way, you can navigate QBO in your sleep. (Experience with QuickBooks Desktop is nice to have for those occasional conversion projects, but QBO expertise is far more important.)
- Month-End Closing Skills: A track record of owning the month-end close process. You know how to reconcile balance sheet accounts fully, catch and correct discrepancies, and deliver a clean set of financial statements. When asked, “Does the balance sheet tie out?”, your answer is always “Yes, and I can show you the reconciliation schedule.”
- Reconciliation & Accounting Chops: Strong skills in reconciling loans, fixed assets, and payroll accounts. You understand how to handle depreciation schedules, interest calculations, and payroll liabilities. Nothing gets past you – if a loan balance doesn’t match the amortization table, you will find out why.
- Payroll & Gusto Experience: You’re comfortable preparing payroll journal entries and integrating payroll data. If you’ve used Gusto or similar payroll services, that’s a plus (many of our clients are on Gusto). You know how to handle payroll-related entries like a champ (gross wages, withholdings, tax payments, benefit deductions – you’ve got it under control).
- Client-Facing Communication: Excellent communication skills, both written and verbal. You’re friendly and confident on Zoom/video calls – able to build rapport with clients and explain financial concepts without jargon. (Professionalism is key; you’ll represent our firm and need to make a great impression.)
- Organization & Self-Direction: Phenomenal organizational skills. You can manage your own workload and deadlines in a 100% remote environment. Since you’ll work from home, you must be disciplined, proactive, and reliable. Micromanagement isn’t our style – we’ll trust you to get your work done.
- Tech-Savvy & Adaptable: Comfortable with remote work tech. You don’t need to be an IT expert, but you should be able to pick up new software tools quickly. (We use a bunch of cloud apps to collaborate – think communication, project management, document sharing, etc.) If something’s not working, you’re resourceful enough to troubleshoot basic issues or ask for help.
- Remote Work Setup: You have a dedicated, quiet workspace where you can focus (kids, pets, and life are fine – just as long as you have a door to shut when needed!). Reliable high-speed internet is a must. We’ll provide you with a company computer and monitors to set you up for success; you’ll need to provide your own desk, chair, and whatever else you need for a comfy home office.
