Personal Assistant To The Chief Brand Officer

ROLE OVERVIEW

As a Personal Assistant, you will play a crucial role in ensuring the smooth and efficient operation of the executive office. You will be responsible for managing the Chief Brand Officers (CBO) schedule, creating daily agendas, coordinating logistics, handling stakeholder relations, screening incoming inquiries, and managing daily needs of the CBO.

RESPONSIBILITIES

• Calendar Management:
  • Efficiently manage and coordinate the CBOs calendar, prioritizing meetings, appointments, and commitments to ensure optimal time utilization.
  • Prepare daily agendas along with relevant materials and information.
  • Anticipate and handle scheduling conflicts, lastminute changes, and shifting priorities.
• Meeting and Communication Support:
  • Prepare agendas for meetings attended by the CBO and ensure necessary materials are available in advance.
  • Take meeting minutes, track action items, and follow up on key deliverables when required.
  • Screen and prioritize incoming requests, inquiries, and visitors to ensure efficient use of the CBOs time.
• Travel Coordination:
  • Arrange all travel logistics, including flights, accommodations, and ground transportation, ensuring seamless travel logistics that align with the CBOs preferences.
  • Develop detailed itineraries for business trips.
  • Proactively adjust travel plans as needed.
• Personal and Administrative Support:
  • Handle personal arrangements for the CBO, such as reservations, appointments, and errands.
  • Coordinate houserelated repairs.
  • Manage social media and meal preferences throughout the day.
  • Provide transportation for children when household staff are unavailable.
  • Ensure the CBOs office remains organized, wellstocked, and running smoothly.
  • Drive the CBO to meetings and appointments as needed.
  • Maintain professionalism, discretion, and confidentiality in all tasks.

REQUIREMENTS

• Proven experience as an Executive or Personal Assistant supporting Csuite executives.
• Proficiency in using office software, calendar tools, and other technology platforms to streamline tasks and improve productivity.
• Exceptional organizational and multitasking skills, with the ability to anticipate needs and adapt to changing priorities.
• Experience managing personal tasks for executives, ensuring a seamless blend of business and personal support.
• Strong written and verbal communication skills, including professional correspondence and stakeholder interactions.
• Unwavering attention to detail and the ability to handle sensitive information with absolute confidentiality.
• Flexibility to work extended hours and weekends as needed.
• Possession of a valid drivers license with a clean driving record for occasional errands or transportation needs.
• Ability to travel with the CBO as required, sometimes on short notice.
