On-site Manager Responsibilities

General Management

• Oversee the daily operations of the property (apartment complex, common areas, etc.)
• Enforce property rules, regulations, and lease terms
• Ensure the property remains safe, clean, and well-maintained

Administrative Duties

• Assist management company in maintaining accurate records of leases, payments, maintenance requests, and expenses
• Prepare and submit regular reports to the property owner or management company
• Handle correspondence with tenants, vendors, and contractors
• Assist with budgeting and expense tracking

Tenant Relations

• Respond promptly to tenant inquiries, concerns, and complaints
• Conduct move-in and move-out inspections
• Handle lease renewals and tenant notices
• Enforce lease agreements and issue notices for violations or nonpayment
• Promote positive tenant relations to encourage retention

Maintenance & Inspections

• Conduct regular property inspections (buildings, grounds, and common areas)
• Coordinate and oversee maintenance, repairs, and cleaning
• Ensure all safety systems (alarms, lighting, fire extinguishers, etc.) are functioning
• Maintain relationships with contractors, vendors, and service providers
• Address emergency maintenance issues promptly

Financial Management

• Assist in monitoring rent collections and late payments
• Manage petty cash or small onsite budgets for supplies
• Assist with preparation of operating budgets and expense forecasts
• Help identify cost-saving opportunities

Safety & Compliance

• Ensure compliance with housing codes, fair housing laws, and safety regulations
• Maintain proper documentation for insurance, inspections, and incident reports
• Coordinate emergency procedures and assist during emergencies

Grounds & Facilities Oversight

• Monitor landscaping, lighting, parking, and trash disposal
• Ensure communal areas (laundry rooms, fire pits, etc.) are clean and operational

Optional / Additional Duties (Depending on Property Type)

• Assist with marketing and showing vacant units
• Process applications
• Supervise onsite staff (maintenance workers, cleaners, security)
• Plan or oversee community events
