POSITION SUMMARY:

Under the direction of the Medical Records Manager, the Medical Records Clerk is responsible for maintaining the security, confidentiality, completeness, and accuracy of the medical records of the JPAFHC

RESPONSIBILITIES:

1. Assists the Medical Records Manager with indexes and conduct random chart audits of medical records.

2. Assists medical staff by answering inquiries and locating patient records, when needed as well as retrieving patient data.

3. Participates with the Medical Records Manager with receiving, storing, printing of records and communication of patient data.

4. Under the direction of the Medical Records manager will assist in purges records in accordance with policies and procedures in line with the proper retention requirements under applicable state and federal laws.

5. Answers, transfers, and screens all calls received to the department/facility. If the call is urgent, the medical records clerk must direct the call immediately to the appropriate person. If the call is not urgent, the medical records clerk will obtain a complete message and call back number and ensure that the message is given to the appropriate staff person the same day so that the call can be promptly returned.

6. Assists in the production of forms, records and reports that reflect Medical Records statistics and patient data.

7. Under the direction of the Medical Records Manager must be able to analyze the patient chart to find discrepancies that could impact the integrity of the record as a whole.

8. Observes all HIPAA rules and legislation and Patient’s Confidentiality.

9. Participates in staff meeting.

11. Must comply and adhere to Compliance guidelines as it pertains to the electronic medical record aka EMR as it relates to HIPAA and patient data.

12. Must be able to find/locate patients within the EMR.

13. Medical Records clerk is responsible for checking and reading any emails received, as some directives or instructions will not be made verbally.

14. Medical records clerk must comply and adhere to the rules and regulations found in their JPA Employee Handbook. 15. Ad hoc assignments or projects may be assigned.

MINIMUM QUALIFICATIONS:

1. High School Diploma and some college, preferred.

2. At least Two (2) years in a medical records position as a clerk or some medical office, clinic, or hospital

experience.

3. Ability to work well with the front office, clinical staff, and the ability to work with other MR Clerks.

4. Ability to interact with patients on a day-to-day basis to handle routine inquiries about their

patient health data.

5. Understanding of medical terminology

6. Must be a self-Starter and be able to function with little or no supervision

GENERAL QUALIFICATIONS:

1. Ability to communicate successfully and relate with the public regardless of ethnic, racial, and

economic background.

2. Strong attention to detail and commitment to high quality work

3. Strong professional ethics and sensitivity in dealing with confidential information.

4. Demonstrated ability to work independently and as a team member.

5. Proficiency in computer programs and software, particularly Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).
