Job Opportunity: Administrative Assistant Senior

University of Pittsburgh Physicians Department of Pediatric Neuropsychology is hiring a full-time Administrative Assistant Senior to join their team at Children's Hospital. This is a Monday through Friday daylight position with the hours of 7:30am to 4pm. No evenings, weekends, and select holidays off! This position may require travel to the Mercy office to cover on an as-needed basis. This position will support the administrative needs of the department, manage calendars, order supplies, answer phones, and other admin duties as assigned. Once trained, this position will allow for 1 work from home day per week. Purpose: Under general direction, provides varied administrative support of a complex and technical nature to single or multiple department(s) or a division. Responsibilities include:

• Providing input to presentations and other department/supervisor work.
• Developing and sending correspondence on behalf of department and department head.
• Planning conferences for department and department head.
• Maintaining supervisor's calendar.
• Maintaining various accounting and budgetary records.
• Making travel arrangements.
• Developing reports for executive or department.
• Analyzing complex information requests and determining complex trends.
• Reviewing administrative procedures and operating practices and making recommendations to increase efficiency.

Requirements:

• High school diploma or equivalent.
• 5 years experience in an increasingly responsible administrative support role.
• Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software.
• Ability to use applicable MS Suite products.
• Advanced knowledge of business processes and procedures.
• Working knowledge of accounting and financial principles and functions.
• Ability to analyze data.
• Ability to use discretion and independent judgment.
• Licensure, Certifications, and Clearances:
• Act 31 Child Abuse Reporting with renewal
• Act 33 with renewal
• Act 34 with renewal
• Act 73 FBI Clearance with renewal
